A wholesale message can sound fluent and still be commercially wrong.
A changed decimal, missing minimum, mistranslated delivery term, ambiguous date, altered style code, or softened cancellation condition can cause more damage than awkward prose. The first goal of multilingual AI should therefore be controlled meaning preservation—not faster message volume.
Use AI as a draft or quality-assistance layer inside a translation process. Keep the approved source, commercial data, terminology, reviewer, and final send decision under human control.
Classify the message before translating it
Different messages carry different consequences. Label each item as one of the following:
- relationship or scheduling note;
- product introduction;
- line-sheet or catalog copy;
- sample request or confirmation;
- price, minimum, availability, or delivery discussion;
- purchase-order or amendment communication;
- claim, care, compliance, customs, or safety information;
- contract or dispute;
- commercial marketing email.
Low-risk scheduling language may tolerate a lightweight review. Prices, Incoterms, product claims, specifications, deadlines, legal terms, and order commitments require qualified review and often a separate authoritative document. Translation does not turn an informal chat into an approved contract.
Freeze one canonical source
Give the source a version ID and approval state. Remove ambiguity before translation. Spell out dates, currency, quantity unit, time zone, measurement system, and who pays for which transport step. Do not translate while the commercial team is still editing the source.
Use explicit structures:
2026-10-15, not10/15/26;USD 42.00 per unit, not$42;12 units per color, notminimum 12;- an approved Incoterm and named place, not “shipping included”;
- style and color identifiers alongside human-readable names.
Lock identifiers, currency values, quantities, URLs, addresses, dates, and approved trade terms so they cannot be rewritten. Keep a source-to-target segment link so reviewers can trace each statement.
Build a small terminology system
Create a glossary for terms that recur across line sheets, orders, and product records. Each entry should include source term, approved target term, locale, definition, context, do-not-use alternatives, owner, and last verified date.
Fashion terms are context-sensitive. “Sample,” “line,” “delivery,” “case pack,” “cuttable width,” “rise,” “body length,” and “finish” may have different meanings outside the intended workflow. Product names and brand voice may remain untranslated while care, safety, or legal language follows local requirements.
ISO 17100 describes requirements for translation-service processes and resources. ISO 18587 addresses full human post-editing of machine-translation output and post-editor competence. FashionMember does not claim conformity with either standard; their official summaries reinforce the need to define specifications, process, resources, and human post-editing rather than treating raw machine output as final.
Give the model a bounded brief
Provide only approved content and necessary context. A controlled request can specify:
- source and target locale;
- audience and message type;
- frozen source version;
- glossary and prohibited alternatives;
- locked tokens that must remain exact;
- tone constraints;
- sentences that require legal or commercial review;
- expected output structure;
- instruction to mark uncertainty instead of guessing.
Do not paste entire inboxes, customer histories, private contact lists, contracts, or identity documents into an unapproved system. Review vendor retention, training use, access, deletion, and subprocessors. Minimize personal and confidential information.
Test mechanics separately from language
Automated checks can catch structural problems but cannot certify meaning. Check:
- every locked token appears exactly once where expected;
- numbers, decimal separators, currency, dates, units, and style codes match;
- required fields and paragraphs are present;
- links point to the approved destination;
- source and target versions are connected;
- language tag and text direction are stored;
- untranslated source fragments are flagged;
- the assigned human reviewer and approval state exist.
Then a qualified reviewer evaluates meaning, fluency, terminology, tone, cultural context, commercial intent, claims, and local legal requirements. A second reviewer may be appropriate for high-consequence content.
Preserve language and direction metadata
Do not store a translation as an unlabeled string. W3C guidance recommends language tags such as fr-FR and separate direction metadata such as ltr, rtl, or auto for localizable text. Language and direction are related but not interchangeable.
Apply the appropriate lang and dir information when content is inserted into HTML. Test emails, PDFs, spreadsheets, order portals, and mobile screens with bidirectional text, mixed numbers, punctuation, and long translations. A linguistically correct Arabic message can still become unusable when the interface mishandles direction.
A reproducible mechanical preflight
FashionMember created four fictional messages in content/data/FM-037-translation-qa.json. The script scripts/fm037-translation-qa.php validates locale shape, direction value, frozen-source state, exact locked tokens, assigned human reviewer, and an opt-out-control state for a fictional commercial message.
The Spanish and Arabic examples are mechanically qa-ready. The Korean example is held because FOB Los Angeles is missing. The French example is held because no human reviewer is assigned.
The script does not score the Spanish, Korean, French, or Arabic language. It does not verify Incoterms, law, tone, culture, accessibility, rendering, consent, or commercial accuracy. “QA-ready” means only that the draft can proceed to qualified review.
Keep outbound controls intact
Translation does not change whether a message is marketing, transactional, permitted, or suppressed. Preserve contact source, purpose, consent or other applicable basis, do-not-contact state, and channel rules across languages.
The U.S. FTC describes CAN-SPAM requirements for commercial email, including accurate header information, non-deceptive subject lines, identification and opt-out mechanisms under the law’s scope. Other countries and channels have different rules. Obtain jurisdiction-specific advice and do not let AI automatically send commercial messages.
The human sender should see the approved source, final target, locked-token report, reviewer identity, recipient locale, and suppression status. Archive the final sent version and source relationship without retaining unnecessary personal data.
Measure accepted communication, not words produced
Track error types, reviewer edit time, locked-token failures, glossary conflicts, rendering defects, corrections, complaints, and messages that require escalation. Sample by locale, message type, reviewer, vendor, and product category.
Do not compare translators by raw edit distance alone. A small correction to a price can matter more than rewriting an entire greeting. Review the full workflow when the model, glossary, source template, channel, legal requirement, product line, or target market changes.
Multilingual AI is valuable when it makes approved meaning easier to carry across a business. It is not a substitute for the people who understand the language, commercial relationship, and consequences of the message.
